Job Overview:

This role reports to the Head of Employment and Skills and supports the Head and team with administration and coordination activity. The role includes raising POs, diary management, scheduling meetings, room bookings (internally and externally), taking minutes and using many different systems and platforms.

Principle Accountabilities:

  • To support the head of with calendar management and timely responses to emails in a proficient and professional manner
  • To organise meetings inc location and refreshments, prepare agendas, collate and circulate documents in a timely manner
  • Manage the logistics of the meetings, tracking actions and preparing minutes
  • Support the team in preparing documents or other activities for meetings
  • Develop and maintain effective and efficient administrative systems including document control, archiving and sharing of files
  • Continuous improvement approach for all duties and activities
  • Raise and receipt POs on behalf of the team
  • Able to show others how to use the systems and be conversant with the company policies as applicable
  • Be conversant with ‘My ’ with the ability to coach others on how to use the system and in a ‘super user’ for the team
  • Exercise high level of discretion and confidentially always
  • Proactively undertake other ad hoc activities to support colleagues to deliver team objectives
  • Be a team player and support the wider team with meetings, events and activities to ease pressure

Qualifications and Experience:


  • Very good planning and organisational skills
  • Ability to work as part of a team and as an individual
