Diary Manager and Project Support Office Assistant Civil, Family and Tribunals Programme
Civil, Family and Tribunals (CFT) is one of the key programmes enabling the transformation of judicial services. Current HMCTS services are typically supported by high-volume, paper based processes. The CFT Programmes main technology objective is to develop efficient, proportionate and accessible digital services delivering access to justice via appropriate modern channels. These digital services are being developed within a coherent architecture which maximises reuse across the services.
As the Diary Manager and Project Support Officer Assistant your key purpose is to enable the smooth running of the Programme Directors and Programme Managers Office by providing administrative support through the operation of both diary management and project management processes, and the co-ordination of diaries and meetings on their behalf:
Supply excellent project or programme related support across the CFT programme
Assist with effective communication between project management and the business
Provide a central project support services across the Change Directorate
Maintaining central project records and producing regular management reports
This role will give you a fantastic opportunity to work closely with a range of internal stakeholders within the Reform Programme at the heart of change, to learn how a large and complex portfolio operates as well as develop a broad range of effective business skills and a variety of exemplar project management techniques.
To be successful in this role, you should have the following:
Previous experience working a diary manager or as a project support assistant as a member of a large project team, or a project manager for a small, low complexity project
Experience of dealing with requests promptly organising meetings, managing conflicting requests, ability to take minutes and draft agendas and/or maintenance of project products such as risk and issues logs, and management of records
Experience of building productive relationships with internal stakeholders such as diary managers, project managers including seeking agreements/trade-offs to keep delivery on track
Ability to work to tight timescales, managing your priorities and ensuring delivery of quality products
Ability to implement and maintain appropriate systems to enable effective planning and scheduling
Ability to manage potential risk areas, working with risk managers and escalating as appropriate
Ability to support and maintain project controls
Ability to communicate clearly to a non-technical audience
Ability to work in a flexible way, provide support during normal office hours and undertake any other duties reasonably requested by line management
The post holder is required to work in a flexible way and undertake any other duties reasonably requested by line management which are commensurate with the grade and level of responsibility of this post.

Fixed Term Appointment
